The process of applying to educational institutions in Belgium for international students

Belgium has many high-quality educational institutions offering various programs of study in English, French, Dutch, or German.

Application Fee for University Admission

Let’s consider the following rule with the example of admission to the University of Brussels.

Students who want to apply with a non-Belgian diploma will receive (within a few days) a request for payment of a registration fee of 50 euros after submitting the online application. This applies to non-Walloon students and all students with a foreign diploma. This fee covers administrative costs for the validation of your diploma.

PhD applicants do not need to pay a registration fee.

How to Pay
You will receive an email with payment instructions to your personal email address. This concerns the bank transfer, where you should clearly indicate the correct reference number.

  • If your application is accepted, the application fee will be deducted from your tuition fee. If your application is not accepted, the registration fee will not be refunded.
  • If you apply for different programs, you pay 50 euros for each application separately.
  • Did you register for the wrong program but already paid the registration fee? Then register for the correct program and pay the registration fee again.
  • Did you accidentally register for a program in the wrong language? Then register for the correct program and request to transfer your registration fee to the new registration if your initial registration has not been processed yet. Contact the student administration as soon as possible.

Registration

You will receive an email confirming that we have received your registration. Our student administration will check if all requested documents are included in your application.

Do you have all the documents? Submit them to the student administration and indicate your full name, date of birth, and the program you are applying for. The sooner we receive all your documents, the faster we can process your application. Make sure you submit all the required documents by the application deadline.

The only documents that can be submitted after the deadline are the language confirmation and the APS certificate (if required).

We will start processing your application as soon as:

  • your application has been correctly submitted (before the deadline)
  • all required documents are available (before the specified deadline)
  • we have received your application

The student administration, together with other involved services, will take care of the academic verification of your application. This process can take up to 10 weeks.
Once a decision has been made, you will be notified by email. Want to check your status during the evaluation? You can log in here with your email address and corresponding password, click on “Register and (re)register,” and check the status of your submitted registration under the “Overview” section.

If your application is accepted, you will receive a letter of conditional acceptance.

If your application is approved, you will receive a notification of conditional acceptance by email.

If necessary, you can use this document to apply for a visa. Please inform us as soon as possible which embassy or consulate you will be applying to so that we can directly confirm your acceptance.

Scholarship Programs

Registration or education cannot be postponed

If you have been admitted but decide not to start your studies until the following academic year, you will have to reapply for the corresponding academic year as soon as it becomes possible. Therefore, your admission is only valid for the current academic year and cannot be postponed or transferred to a later academic year. You will have to pay the registration fee again, but your registration will be processed faster.

Reconfirm Your Registration

Along with the letter of acceptance, you will receive instructions on how to confirm your degree. For this, your previous school must confirm to us directly via email that you have completed your studies there. This email should be sent from the school’s official (verifiable) email address and should include:

  • Your official name and surname
  • The name of your degree
  • Date of completion

This email should be addressed to: scriptions@vub.be.
If this verification is also successful, we will complete your registration by July 1 of the current year.

Another method of digital verification (e.g., through a website) can also be accepted if it is available to you. However, we do not use paid services or intermediaries.

Specific verification methods are available for the following degrees:

  • Cambridge A Levels: We verify them directly.
  • GCE Certificate for exam sessions from 2015 onwards.
  • Chinese Diplomas: We accept the online verification report from CHESICC/CSSD.
  • International Baccalaureate: Contact IB and give them permission to share your results with us through the International Baccalaureate Information System (IBIS).
  • Dutch Diplomas: Please send us an extract from DUO regarding your diploma.
  • Turkish Diploma: We can verify it on the website of the Turkish Ministry if you provide us with your TC number and the certificate barcode, which can be done via email.

Enrollment of International Students
Once your application is approved, you will receive a message that your enrollment contract is ready for signing.

Complete Your Registration

Once your online learning agreement is signed, you will receive a registration certificate to your personal email address. You can use this, for example, to request a public transport subscription.

Apply for a Transport Pass

Your student card and an email to activate your VUB account will also be sent shortly after signing your enrollment contract. With your VUB account, you can register for your courses before the start of the academic year.
